Terms and Conditions of Sale
These Terms and Conditions of Sale (“Terms”) govern all bookings, safaris, treks, and tours (“Services”) offered by Adventure Safaris & Treks, a locally operated company based in Nepal.
By booking with us, the Client (“you”) agrees to these Terms in full.

Article 3 – Booking and Payment
Bookings are made online through our official website: www.adventuresafariandtrek.com
Your booking is considered confirmed once the payment method and schedule have been agreed upon with our team.
A confirmation email will be sent detailing your itinerary and included services.
Article 4 – Prices
All prices are listed in Euros (€) or US Dollars ($).
Prices include only the services expressly mentioned in each trip description (such as accommodation, meals, transfers, guide, and activities).
Not included: international flights, visas, travel insurance, vaccinations, personal expenses, non-specified drinks, tips, and any other services not mentioned.
Prices may be adjusted in the event of currency fluctuations, local tax changes, or changes in supplier costs.
Article 5 – Payment Terms
To confirm your reservation, we offer several flexible payment options, allowing you to choose what suits you best.
1. Bank transfer
You can confirm your booking by making a bank transfer directly to our company account.
Once your reservation is validated, we will send you our banking details by email.
2. Payment upon arrival
You may also choose to pay when you arrive in Nepal:
By credit card, with a 4% bank fee, or
In cash, without additional fees (USD $, EUR €, or Nepalese Rupees NPR).
Depending on your preference, payment on arrival can be made:
In one payment, or
In two instalments: 60% upon arrival and 40% at the end of your adventure with us
Important note for cash payments
If you plan to pay in cash, we strongly recommend withdrawing money before arriving in Thakurdwara. ATMs in the area only allow small withdrawals and may involve higher fees. Withdrawing in larger cities will help you avoid inconvenience
Article 6 – Cancellation and Refund Policy
If cancelled by the Client:
More than 30 days before departure: 80% of the deposit will be refunded.
Less than 30 days before departure: no refund will be issued.
If cancelled by the Company:
In the event of unforeseen circumstances (extreme weather, force majeure, political or health events), Adventure Safaris & Treks will offer either:
a full refund, or
a rescheduling of your trip at a later date.
Bank and currency conversion fees remain the responsibility of the Client.
Article 7 – Modifications After Booking
Any change request (dates, number of participants, itinerary) must be submitted in writing.
Adventure Safaris & Treks reserves the right to charge an administrative fee and adjust the total price accordingly.
Article 8 – Travel Insurance
Travel insurance is not included in our prices.
Clients are required to have valid insurance covering medical assistance, repatriation, hospitalization, and trip cancellation where applicable.
Article 9 – Liability
Adventure Safaris & Treks is committed to ensuring a safe and enjoyable experience for all travelers.
However, participation in outdoor and adventure activities carries certain inherent risks (accidents, weather changes, wildlife encounters, altitude effects, or political instability).
By booking with us, you acknowledge and accept these risks.
The company cannot be held responsible for events beyond its control such as:
flight delays or cancellations, loss of baggage, medical incidents, or administrative decisions.Any additional costs incurred due to such circumstances will be borne by the Client.
Article 10 – Client Responsibilities
By booking with us, you agree to:
provide accurate personal information,
ensure your travel documents (passport, visa, vaccinations) are valid,
follow safety instructions from your guides,
and confirm that your physical condition is compatible with the chosen activity.
Article 11 – Complaints
Any complaints must be submitted in writing within 30 days after the end of your trip, accompanied by relevant documentation, to: adventuresandt@outlook.com.
Complaints received after this period cannot be considered.
Article 12 – Force majeure
Adventure Safaris & Treks cannot be held liable for failure to deliver part or all of a trip due to force majeure — including natural disasters, epidemics, strikes, political unrest, or administrative decisions.
Article 13 – Data Protection
Adventure Safaris & Treks processes all personal data in accordance with its Privacy Policy, ensuring confidentiality and respect for your privacy.
Article 14 – Governing Law
These Terms are governed by Nepalese law.
Any disputes shall fall under the exclusive jurisdiction of the courts of Kathmandu, Nepal.
